What is the ASA Mailing Service?

The ASA Mailing Service is the way to access ASA members. It gives the advertiser the only DIRECT ACCESS to all the Audiologists who are members of the ASA within Australia. It is the ideal way to advertise vacancies, career opportunities or products (conditions apply) directly to your target market. Even if you advertised in every major newspaper in every state, there is no guarantee of reaching such a specific market - and can you imagine the cost?


Who will material be sent to?

By using the ASA Mailing Service you can access all financial members of the ASA. All members must be qualified Audiologists and the mail out material is posted to the address on the ASA’s membership database.


How are mail outs organised?

Mail outs can be organised via the ASA Mailing Service Booking Form.

Subject to advertisers’ requirements, there are 2 scheduled mail outs per month on approximately the 15th and 30th – however we reserve the right to change these dates where necessary. Deadlines for submissions to these mail outs are the 10th and 25th of the month. If you wish to send material at other times please enquire as this can be organised without difficulty. However, an "exclusive mail out" surcharge of 10% will apply.

What can be sent?

Advertisers can submit the material of their choice, however all items included in a mail out are subject to the approval of the ASA. It is a condition of using the service that all employment advertising include the following statement: All applicants must be, or eligible to be, a Full member of the Audiological Society of Australia Inc. This statement must be contained within or at the end of the body of your text, and must be the same size (or larger) than the majority of the text. The ASA does not endorse any advertised material and no statements implying such can be included in material. Advertisers are limited to 1 single sided A4 b/w insert as the standard. However, multi-page, colour or other special requests may be accommodated but will be subject to additional costs.

How are bookings made and advertising material accepted?

Bookings are made via the ASA Mailing Service Booking Form.

We require advertising material to be sent via email and will accept files in Microsoft Word or PDF formats. Other applications may be acceptable upon application - please enquire. A proof of your ad along with an approval form, which indicates all relevant information, will be faxed through for you to sign and return via fax before your mail out is considered booked. Your signature constitutes acceptance of all aspects of this proof and of the charges indicated. This is the ONLY stage where alterations can and will be negotiated.

What is the cost?

The costs are broken into 2 parts; (1) the use of the ASA Mailing Service and (2) the postage as defined by Australia Post.

Effective 1st July 2010 the costs are as follows:

1) Standard Black & White Printing

The cost includes printing an A4 single sided flyer in b/w on colour paper (Paper Colours: Light Pink, Light Blue, Light Yellow, Light Green & Lilac), folding, DL size envelopes, envelope stuffing, use of the ASA mailing list, delivery to the post and postage. Material can be accepted in MS Word or PDF formats.

All prices quoted exclude GST (+10% for GST). Advertisers will be invoiced approximately one week after the materials have been posted (to allow for delivery) and the payment terms are 14 days from invoice date. PAYMENTS MADE WITHIN 14 DAYS OF INVOICE DATE WILL ATTRACT A 5% DISCOUNT. Payment by credit card will be subject to a 3% surcharge.

2) Premium Colour Printing

The cost includes printing an A4 single sided flyer in full colour on white paper, folding, DL size envelopes, envelope stuffing, use of the ASA mailing list, delivery to the post and postage. Material can be accepted in MS Word or PDF formats.

All prices quoted exclude GST (+10% for GST). Advertisers will be invoiced approximately one week after the materials have been posted (to allow for delivery) and the payment terms are 14 days from invoice date. 3) Printed Material Supplied By Advertiser

To avoid disappointment, please provide all material via email for approval by ASA before printing and delivery. Once approved by ASA material must be delivered at A4 size (single or double sided) and supplied folded to ‘DL’ - an additional charge will apply for folding should material arrive flat packed. Other sizes can be accommodated - please enquire at the time of booking.

Material should be delivered to David Toomey Design - 1st Floor, 81-85 Cambridge Street, Collingwood, Victoria 3066 at least 3 days prior to the distribution date. Approval information will be faxed upon receipt of supplied material. The cost includes DL size envelopes, envelope stuffing, use of the ASA mailing list, delivery to the post and postage. Material can be accepted in MS Word or PDF formats.

Quantities for printing and delivery are: Australia Wide (1725), VIC/TAS (575), NSW/ACT (500), Queensland (400), SA (125) & WA/NT (175). As we are adding new members every day, please confirm your print quantity with us at the time of booking.

Can the cost be shared with multiple advertisers?

The ASA will allow up to 4 single A4 inserts per mail out only. In any instance where there is more than 1 insert the POSTAGE COST ONLY will be shared equally among the advertisers. Therefore, where there are 2 inserts the POSTAGE ONLY is divided by 2 and charged equally, where there are 3 inserts the POSTAGE ONLY is divided by 3 and charged equally, and where there are 4 inserts the POSTAGE ONLY is divided by 4 and charged equally. You need to be aware that access to a shared mail out is not guaranteed and you will be quoted a full Postage Price for Single access. We endeavour to share postage when possible if this has been requested.

How long does it take?

The time taken to process and mail will vary. The specific postage date will be indicated clearly on the approval form that is faxed to all users of the service. This timing does not include the time taken for Australia Post to deliver to your door. The ASA takes no responsibility for Australia Post delivery schedules once we have delivered to the post as indicated on the approval form. It has been the ASA’s experience that Australia Post delivery times will vary from 1 to 5 days depending on the postage location. This should be taken into account when putting closing or valid dates on any advertised materials.


Can advertisements be emailed or placed on the ASA website?

The ASA does not offer an online or email advertising service under commercial arrangement. However, in some instances, advertising material that has been distributed Australia wide may be shown on the ASA website. This must be viewed as a “value ad” to the service and not as part of the commercial arrangement. The material placed at the website is under the sole discretion of the ASA and no further correspondence will be entered into.


Special Terms & Conditions?

• The ASA reserves the right to include its own printed matter in any ASA Mailing Service (whether single or shared) at any time without notice unless the “exclusive mail out” surcharge has been applied.

• It is a condition of using the ASA Mailing Service that all employment advertising include the following statement“All applicants must be, or eligible to be, a Full member of the Audiological Society of Australia Inc.”

• The ASA does not endorse any information or product advertised using the ASA Mailing Service unless by prior arrangement and with written consent. Any statement that states or implies otherwise will render the information or product unsuitable for distribution using the ASA Mailing Service and the author liable to legal action.

• The ASA assumes that information included in advertising material is accurate, correct and contains no misleading or deliberately false assertions. The ASA accepts no legal liability should any action arise from material distributed using the ASA Mailing Service. All enquiries will be promptly directed to the commissioning advertiser and the ASA will engage in no further correspondence in such matters.

• The ASA accepts no responsibility for errors in content once the ASA Mail Out Service approval form is signed by a representative of the advertiser. By signing the approval form, the advertiser is deemed to accept all the prices, terms and conditions that apply to the ASA Mail Out Service.

• The ASA does not offer agency commission on any booking for the ASA Mailing Service.

• The ASA takes no responsibility for Australia Post delivery of the advertising matter once we have delivered to the post as indicated on the approval form and in the specified manner.

• Cancellations received before the printing of your mail out will be accepted. All requests for cancellation must be received in writing. Your mail out is not deemed as cancelled until written notification is sent from Audiology Australia or it's Representative.
